Board Position Descriptions
President
· Principal executive officer of the Association
· Subject to the control by the Board of Directors
· Supervises and controls all business and affairs of the Association
· Establish meeting agendas - coordinates time and place of meetings
· Presides at all meetings of the Board of Directors
· Facilitates meeting discussions, insuring all have opportunity for input
· Provides end of meeting summary of discussions, decisions and assignments
· Reviews and signs documents such as deeds, mortgages, bonds and other
contracts as requested and authorized by the Board
· Develops first drafts of letters, emails, notices and newsletter items
· Reviews and approves Thornridge expenses and related invoices for payment
· Perform all duties incident to the office and other duties as may prescribed
by the Board
Vice President (VP)
· In the absence of the President, or in the event of his / her inability or refusal
to act, the VP shall perform the duties of the President subject to the same
restrictions as the President
· Subject to control of the Board of Directors
· Initiates actions necessary to enforce Deed Restrictions
· Drafts and sign letters and memos as agreed upon by President and the Board
· Provides input to meeting minutes, emails, letters, newsletters, etc.
· Perform all duties incident to the office of VP and other duties as may be
prescribed by the Board
Secretary
· Management of the Association Database
· Subject to the control of the Board of Directors
· Custodian of Association archives
· Keep minutes of the Board of Directors meetings in accordance with the provisions
set forth in the Bylaws or as required by law.
· Sign, with the President or Vice President, any documents or written instruments
which have been authorized by resolution
of the Board of Directors or by law
· Provide input to draft letters, emails, letters, newsletters etc.
· Develop first drafts of letters, emails, newsletters as assigned by the Board
· Assist the Treasurer and Dues Administrator with communicative aspects of
collecting annual dues and special assessments
· Perform all duties incident to the office of Secretary and such other duties as
may be prescribed by the Board
· It should be noted that the Secretary is an officer on the Board and is expected
to fully contribute to and engage in Board discussions,
decisions and policies. The Secretary is not a stenographer.
Treasurer
· Maintain financial records of Association
· Check Jolicor balance sheet/transactions monthly
Grounds & Waterways Directors
· Manages subdivision common areas, i.e. entrances, parklands, woodlands, ponds,
streams, and drains
· Subject to control by the Board of Directors
· Ensure governmental requirements are met, i.e. state license to treat water-ways,
city conservation easements,
DEQ Enhanced Wetlands, county streams, drains, floodplains, etc.
· Select and manage contractors including water treatment, grounds maintenance,
woodlands, maintenance and irrigation,
electrical, drain maintenance, etc.
· Schedule work, approve invoices, maintain records and track to budget
· Develop annual grounds maintenance budget
· Respond to homeowners’ matters concerning common area issues
· Provide input to meeting minutes, letters, newsletters, etc.
· Develop first drafts of letters, emails, newsletters as assigned by the Board
· Assist other Board Members as requested/required
· Perform all duties incident to the office and as may be assigned by the Board
Jolicor (Management Company) - Dues Administrator Duties
· Coordination and collection of subdivision dues
· Subject to control by the Board of Directors
· Sends out Dues notices with the Secretary
· Sets up Dues collection procedures e.g. online
· Records and keeps track of payments
· Reports bank deposit amounts to Treasurer
· Communicates with and collects from late payers
· Reports information on liens to be filed to Treasurer
· Responds to requests for HOA Status Letters
· Perform all duties incident to the office and as may be assigned by the Board
Jolicor (Management Company) - Treasurer Duties
· Subject to control by the Board of Directors
· Prepare monthly Financial Statements
· Pay invoices approved by other Board Members
· File 1120-H Annual Tax Return, Due April 15
· With the President, file the LARA, MI Corporation Annual Report
Director at Large
· Assists Grounds Director in Management of common lands and waterways
· Assist Board relative to homeowner requests / Deed Restriction issues
· Subject to control by the Board of Directors
· Provide input to meeting minutes, emails, letters, newsletters, etc.
· Assist other Board Members as requested/required
· Develop first drafts of letters, emails, newsletters as assigned by the Board
· Provide support with neighborhood surveys and assessments
· Perform all duties incident to the office and as may be assigned by the Board
Archive & Database Manager -
· Responsible for organizing, categorizing & storing HOA documents in an archive for future use by new Board Members.
